ADMINISTRATIVE ASSISTANT POSITION OPENING

designthis! is looking for a full-time Administrative Assistant. We want someone who is enthusiastic about working in a busy creative environment, is very organized and detail oriented, is savvy with Apple and Microsoft computers, and has strong administrative and client interaction skills. Above all, we are looking to find someone who is experienced, enjoys being the support person for leadership and co-workers, and will help our business grow.

This is a great opportunity to join an established team of directors and designers with interesting and diverse projects. This role would suit a team-oriented, proactive person who is willing to wear multiple hats, jump in and help whenever needed, with a knack for streamlining processes. The opportunity is there to really do amazing things with this role and to become an invaluable part of a dynamic team.

Key Responsibilities:

  • Provide administrative support to the Owner and creative team
  • Regular maintenance and upkeep of the studio spaces so it is always clean and organized
  • Manage inventory of supplies and order as needed for general office and equipment function
  • Coordinate and manage building projects; contact electricians, painters, get quotes, schedule site visits, negotiate prices etc.
  • Prepare weekly reports in project management system
  • Assist leadership and creative team on studio marketing efforts, such as social media
  • General errands and deliveries, including personal errands for Owner from time to time
  • Market research and special projects as assigned
  • Accounts payable/receivable in QuickBooks
  • Organize and manage employee orientation and onboarding, including new hire paperwork and Zenefits administration

Required Skills/Experience:

  • 3 years of professional experience as an administrative assistant or similar position
  • Proficiency in both Mac and Windows platforms
  • Resourceful, proactive and ability to self-manage and work independently
  • Strong attention to detail, and passion and respect for accuracy and timeliness
  • Excellent communication, teamwork and relationship-building skills
  • Comfortable with quickly switching gears, changing priorities and timelines
  • Experience working with highly confidential information
  • Valid driver’s license and auto insurance

Desired Skills/Experience

  • Google docs or project mgmt. systems
  • Light bookkeeping/QuickBooks experience (AP/AR)
  • General understanding of the world of printing as it relates to our industry a plus
  • Knowledge of Adobe design programs a plus
  • Experience working for a small business in an administrative support role
